About WMS Reports and Analytics

The Analytics tab in WMS provides access to Reports—systematic, computational analyses of data and statistics related to transactions and holdings in WMS. Throughout 2025, OCLC is gradually transitioning from WebIntelligence to Power BI for Reports and Visualizations. During this period, classic reporting options remain available.

Additionally, sFTP reports offer weekly exports of WMS Circulation data for all barcoded items and patrons, supporting deeper local analysis beyond standard reports.

Analytics

WorldShare Report Designer, accessible from the Launch Pad, allows you to build custom reports, charts, and data visualizations. You can also use standard reports as a base for creating your own customized reports. With Report Designer you have the flexibility to adjust the data you present and how it's presented, Report designer can also be used with Tipasa data.

The WorldShare Reports section of the OCLC Community Center holds a monthly Office Hours. Subscribe on the WorldShare Reports events page to receive notifications about upcoming meetings.

In My Library identify the strengths and weaknesses of your collection by subject area, publication date, format, language, and latest circulation date.

(Note: BCLA's WMS subscription does not include the My Comparisons or Manage Comparisons functions).

Secure File Transfer Protocol (SFTP) reports are generated by OCLC and delivered weekly on Sunday nights to your institutionโ€™s data center. These reports can be downloaded and analyzed in Excel or similar tools.

The available data extract files include:

  • Circulation Item Inventories โ€“ All inventoried items
  • Circulation Patron Report Full โ€“ All current patrons for an institution
  • Circulation Patron Report Week โ€“ Patrons modified within the past week

SFTP reports are useful for:

  • Data migration cleanup
  • Getting complete lists of barcoded items and patrons
  • Managing inventory projects
  • Obtaining comprehensive patron and item data
  • Reconciling patrons, items, or bills with external systems

To access these reports, use an FTP client such as FileZilla. See the link below for FileZilla download and setup instructions.

Settings for an FTP Client to access OCLC SFTP reports:

  • FTP client: FileZilla or similar
  • Server/Host: sftp://filex-m1.oclc.org
  • Username: wx_[your OCLC symbol in lowercase]
  • Password: Provided by OCLC during data migration
  • Port: 22
  • Report Directory: xfer/wms/in/reports
