About Reports and Analytics

From the WorldShare Analytics tab you can access Reports, Report Launch Pad, and Collection Evaluation. Reports in the analytics tab provide systematic computational analysis of data or statistics related to transactions and holdings in WMS

Reports has standard, non-customizable reports.

Report Launch Pad connects to Report Designer where you can design your own customized reports.

Collection Evaluation lets you view an analysis of your holdings in WorldCat based on the OCLC Subject Conspectus.

SFTP reports provide weekly OCLC data for all your inventoried items, current patrons, and modified patrons.

Note: Pop up blockers must be turned off for report results to load. How to disable pop up blockers.

WorldShare Report Designer allows you to build custom reports, charts, and data visualizations. You can also use standard reports as a base for creating your own customized reports. With Report Designer you have the flexibility to adjust the data you present and how it's presented, Report designer can also be used with Tipasa data.

The WorldShare Reports section of the OCLC Community Center holds a monthly Office Hours. Subscribe on the WorldShare Reports events page to receive notifications about upcoming meetings.  

View an analysis of your holdings in WorldCat based on the OCLC Subject Conspectus. 

In My Library identify the strengths and weaknesses of your collection by subject area, publication date, format, language, and latest circulation date.

(Note: BCLA's WMS subscription does not include the My Comparisons or Manage Comparisons functions).

The Secure File Transfer Protocol (SFTP) reports are OCLC reports that are loaded weekly on Sunday night to your institution’s data center. You can download the reports and view/analyze them in Excel.

Available data extract files are:

  • Circulation Item Inventories – All inventoried items
  • Circulation Patron Report Full – All current patrons for an institution
  • Circulation Patron Report Week – All patrons that have been modified over the last week

SFTP reports are useful for:

  • Data migration clean-up
  • Getting complete lists of all barcoded items and patrons
  • Managing inventory projects
  • Getting comprehensive information about patrons and items
  • Reconciling information about patrons, items, or bills with an external system

You will need an FTP client like FileZilla to connect to the OCLC  data center and download the reports.  See link below for instructions for downloading Filezilla.

Settings for an FTP Client to access OCLC SFTP reports

  • Download an FTP client: FileZilla or similar
  • Server or Host set to  ftp://filex-m1.oclc.org
  • Username will be wx_[your OCLC symbol in lowercase] 
  • Password that was assigned to your library for data migration
  • Port: 22
  • Reports are in the Directory:  xfer/wms/in/reports
